Position Summary
Under the guidance of the Director, the Office Manager is responsible for managing daily operations of the BHP youth/adult mental health location.  This position will be responsible for understanding the unique services and requirements of all BHP locations and work closely with Office and Clinical Managers to ensuring proper coverage to ensure efficiency.  This position will provide comprehensive case management for youth and adolescent mental health clients and their families, resources to assist providers, clients, families and community partners. 

Essential Duties and Responsibilities
Administrative Duties
•    Work closely with BHP Managers to determine support staffing needs across BHP locations, ensuring proper coverage.
•    Supervise staff including hiring, training and performance evaluations
•    Monitor program workflows for efficiency 
•    Respond to complex or urgent patient contacts escalated from support staff to screen and address needs prior to involving treating providers. 
•    Process BHP records requests according to State, Federal and Tribal law.
•    Greet patients and check them in for appointments providing exceptional customer service.
•    Perform all front desk duties including answering phones, greeting clients, scheduling appointments and collecting payments.
•    Maintain a smooth flow of communication between patients, providers and families.
•    Provide clients with paperwork needed for intakes, process intakes including building client chart and uploading all supporting documents. 
•    Maintain strict confidentiality of patient information
•    Provide backup coverage for front desk.

Clinical Duties
•    Provide case management services to clients and family, assisting with accessing community resources, coordinating admissions and other treatment related activities.
•    Act as Liaison between clinician, client/family and other organizations including schools, child welfare agencies, medical providers, crisis responders and WISE program staff
•    Facilitate team communication and follow-up to ensure continuity of care.
•    Follow up with referrals to ensure continuity of care.
•    Recognize when a patient is in need of crisis intervention and coordinate triage or arrange same-day appointment with provider. 

•    All other duties as assigned by direct supervisor

Required Knowledge, Skills and Abilities
•    Ability to type at least 45 wpm with no errors.
•    Good command of computerized word processing programs.
•    Ability to operate general office equipment including computers, photocopiers and fax machine
•    Experience in maintaining confidentiality.
•    Experience in Crisis Intervention
•    Experience in arranging community recourses
•    Experience in a behavioral health setting
•    Experience supervising staff
•    Case management experience
Position Qualifications
•    High School graduate or GED.
•    Bachelor’s degree in behavioral health field.  Experience can be substituted for educational requirements.
•    5 years office/administrative experience, preferably in a medical or behavioral health environment
•    2+ years of clinical case management experience
•    Experience working with youth populations and families
•    Extensive knowledge of local community resources and service providers
•    Ability to pass criminal background check and pre-employment drug screen.
•    Experience working with Tribal communities preferred

$91,000 annual salary
